SUMMER SCHOOL SECRETARY Open until filled Strong preference will be given to internal candidates Description:
The Summer School Secretary provides essential administrative support for the secondary summer school program. Responsibilities include managing student attendance and records, handling phone calls and caregiver inquiries, processing paperwork, maintaining office supplies, support student health and wellness needs, and assisting with student check-in and check-out procedures. The secretary will also support teachers and administrators with various tasks, ensuring a smooth and efficient operation of the summer school program. This position requires strong organizational and communication skills, proficiency in basic computer applications, and the ability to maintain confidentiality.
Essential Job Functions & Responsibilities - Maintain accurate records such as student records, staff records, and financials for programming
- Answer the phones and respond to caregiver inquiries
- Greet and assistant families, students, and visitors
- Maintain program supplies
- Assist with data entry and record management
- Assist with student check in and check out
- Ensure student health and wellness needs are attended to (medication administration and health room needs)
- Assist with the organization and coordination of events
- Maintain confidentiality
- Maintain a clean and organized office
Qualifications - Three years of school secretarial experience preferred
- Multilingual applicants preferred
- Excellent communication and problem-solving skills
- Understanding of OCSD policies and guidelines
- Commitment to equitable and inclusive practices for all students

Terms of Employment May - July
- Additional hours outside of typical work hours to order supplies starting in May
- Professional development and room set up week of June 17th and 18th
- Summer school calendar June 23rd - July 11th, no school on Friday, July 4th (summer school hours Monday - Friday 8:00am-3:00pm)
